Cancellation and Refund Policy

Registration Cancellation / Replacement Policy
The Organising Committee will refund approved registration fees as soon as possible and no later than one month after the conference has concluded. The refund will be made back to the card used for initial payment. All requests must be made in writing via email to This email address is being protected from spambots. You need JavaScript enabled to view it.. Please note that refunds are not assured and will be subject to thorough assessment.

Full Refund – Before 31 December 2025
To receive a full refund, the Organising Committee must receive written requests before 31 December 2025.

50% Refund – 1 January 2026 to 31 January 2026
Requests for refunds received by the Organising Committee from 1 January 2026 to 31 January 2026 will be eligible for a 50% refund.

No Refund – On 1 February 2026 and After
Requests for refunds on 1 February 2026 and after will not be eligible for a refund. Emergency illness or death of registrant or immediate family member refunds may be granted if an attendee is unable to attend the Conference due to a family death, illness or other extraordinary circumstance (at the discretion of the Organising Committee). In such circumstances, the Organising Committee must be contacted by email.

Replacement Policy – before 12 February 2026
Registrants may nominate a replacement if they are not able to attend. The Organising Committee must be notified of this before 12 February 2026.

Visa Letters and Refunds – before 12 February 2026
Visa letters and invites cannot be produced until payment for registration has been made. In the event that a visa cannot be obtained, a refund may be given. Notification of this must be given to the Organising Committee before 12 February 2026.

Removal of Personal Particulars
Registrants who have successfully cancelled their registration will have their personal particulars removed from the database.
